Effective 28 July 2026
Privacy Notice
This notice explains what personal information AiraNote uses, why it is used, where it is handled, and the choices and rights available to you.
1. Who is responsible for your information
AiraNote is a product owned and operated by Aimee Digital Marketing, a business carried on by a sole trader in the United Kingdom. The sole trader trading as Aimee Digital Marketing is the controller of personal information used to operate accounts, licensing, subscriptions, support, and this website. Contact support@airanote.com for privacy questions or rights requests, or write to Aimee Digital Marketing, Thomas Hardy Mews, Thrale Road, London SW16 1DQ, United Kingdom.
2. Information stored locally on your device
Depending on your settings, the application may store:
- Voice recordings and imported audio files.
- Transcript text and exported transcript documents.
- Personal dictionary terms and replacements.
- Application preferences, selected folders, and microphone settings.
- Encrypted or operating-system-protected session information.
- Queued usage measurements needed to synchronise an offline allowance.
You control the local folders and can use the application's storage tools to inspect, move, or clear supported data. Deleting an AiraNote account does not automatically erase files stored only on your computer.
3. Information processed by AiraNote services

|---|---|---|
| Account | Email address, password hash, account dates, lock status | Sign-up, authentication, security, and account administration |
| Licence and device | Plan, status, renewal period, device identifier, device label, last-seen time | Activation, device limits, entitlement checks, and fraud prevention |
| Usage measurements | Word count, audio duration, task, mode, source type, app version, event identifiers | Allowance calculation, service operation, troubleshooting, and abuse prevention |
| Payments | Stripe customer, checkout, subscription and receipt references, billing status | Payment, renewal, cancellation, refunds, tax, and financial records |

| Technical and security | IP address, user agent, timestamps, request and security logs | Delivery, security, rate limiting, fault diagnosis, and legal protection |
AiraNote does not need your full card number. Stripe processes payment card details under its own privacy terms.
4. How information is obtained
Information is provided by you during sign-up, checkout, optional Microsoft sign-in, and support communications; generated by the app when it verifies a licence or records allowance usage; or produced by website, hosting, security, and payment systems.
Optional browser voice preview
If you start the voice preview on the AiraNote website, your compatible browser supplies the speech-recognition service. Depending on the browser, audio and resulting text may be processed by the browser provider under its own privacy terms. The preview does not use AiraNote's offline transcription engine, and AiraNote does not intentionally send the preview's audio or transcript to its own account or licensing service.
The website stores a trial-attempt count in your browser so it can limit the preview to three uses. This counter does not contain your audio or transcript and remains until browser storage is cleared.
5. Legal bases
- Contract: to provide accounts, licences, paid features, support, and billing.
- Legitimate interests: to secure the service, prevent fraud and limit evasion, diagnose faults, and administer the business.
- Legal obligation: for tax, accounting, consumer, regulatory, and lawful disclosure duties.
- Consent: where required for optional storage technologies, marketing, or another clearly optional purpose.
Where legitimate interests are used, we consider necessity, proportionality, and the effect on users. You may object as explained below.
6. Service providers and disclosures
Information may be shared only as needed with:
- Stripe for checkout, subscriptions, billing, fraud prevention, and refunds.
- Cloudflare for website delivery, network security, and Pages hosting.
- Supabase and associated database infrastructure for account and licensing records.
- Microsoft when you choose Microsoft account authentication.
- Your browser provider when you choose to use its website speech-recognition service.
- Professional advisers, insurers, auditors, or authorities where reasonably necessary or legally required.
- A successor in a genuine sale, merger, or reorganisation, subject to appropriate protection.
We do not sell personal information or transcript content and do not use private recordings or transcripts for advertising.
7. International transfers
Some providers may process information outside the United Kingdom. Where required, we use recognised adequacy arrangements, contractual safeguards, or another lawful transfer mechanism and apply proportionate security measures.
8. Retention
We keep information only for as long as reasonably necessary for the purpose collected. Retention is determined by account status, subscription and dispute periods, fraud and security risk, technical need, and tax, accounting, and legal requirements. Records required to establish or defend legal claims may be preserved until the relevant limitation period expires.
Local audio, transcripts, and dictionary files remain until you delete them or the storage location removes them. Payment providers may keep their own records under their policies and legal duties.
9. Security
We use access controls, password hashing, protected session tokens, encrypted transport, rate limiting, service-role separation, database access policies, and operational monitoring appropriate to the service. No system is entirely risk-free. Please use a unique password, secure your Windows account, and report suspected compromise promptly.
10. Automated controls
Automated checks apply plan allowances, device limits, login rate limits, and fraud or security restrictions. They do not make decisions with legal or similarly significant effects based on profiling. Contact support if you believe an automated restriction is incorrect.
11. Your rights
Depending on applicable law, you may ask for access, correction, deletion, restriction, portability, or objection; withdraw consent where processing relies on consent; and complain to a supervisory authority. Rights can be subject to lawful exceptions.
Send requests from your account email to support@airanote.com. We may ask for proportionate identity verification. UK users may also complain to the Information Commissioner's Office at ico.org.uk.
12. Children
AiraNote is intended for adults and is not directed to children under 18. Do not create an account for a child or knowingly submit a child's personal information without a lawful basis and appropriate authority.
13. Changes to this notice
We review this notice when data use, providers, law, or the product changes. Material changes will be communicated appropriately before a new purpose begins where required.
